Your Subject Line Is Only Half the Story

You spend 20 minutes crafting the perfect subject line. You A/B test it. You trim it to 40 characters. Then you leave the preview text to whatever your email tool auto-fills.

That tiny line of text next to your subject line in the inbox? It is doing more work than you think. And most businesses waste it on “View this email in your browser” or a truncated first sentence that cuts off mid-word.

Preview text is the second subject line. It shows up in every inbox on every device right next to your subject. Used well, it doubles the impact of your open rate. Used badly, it makes your carefully crafted subject line look unfinished.

Trick 1: Finish the Sentence Your Subject Line Starts

The most powerful preview text trick is also the simplest: make your subject line and preview text read as one sentence.

Subject: Your cart is still waiting…

Preview: and we added a 15 percent discount to sweeten the deal

The inbox shows: Your cart is still waiting… and we added a 15 percent discount to sweeten the deal

This works because the eye reads both lines as a single thought. The subject hooks, the preview closes. It feels natural, not salesy, and it gives the customer a reason to open right now rather than later.

Other examples:

  • Subject: We picked 5 things for you Preview: based on what you bought last month
  • Subject: Your order shipped Preview: and it is arriving 2 days earlier than expected
  • Subject: This expires tonight Preview: your 20 percent discount disappears at midnight

Trick 2: Say Something the Subject Line Does Not

If your subject line creates curiosity, use preview text to add specificity. If the subject is vague, the preview should be concrete.

Subject: We messed up

Preview: and the only fair thing to do is give you 30 percent off everything

The subject creates tension. The preview resolves it with a benefit. Together, they are more compelling than either line alone.

This also works for product launches:

  • Subject: New arrivals Preview: 3 things that sold out in 48 hours last time
  • Subject: Quick question Preview: are you still looking for a gift under $50?

Trick 3: Replace the Default Junk Text

Most email tools fill preview text with navigation links, “View in browser” text, or the first sentence of your email body. That is wasted space.

Here is what the inbox shows when you do not set preview text:

Your order has shipped – View this email in your browser. Free shipping on orders over…

Compare that to:

Your order has shipped – and it is arriving Thursday, not Saturday

To fix this, add a hidden preview text block at the very top of your email HTML, before the header and navigation. Most email tools call it “preheader text” or “preview text.” Fill it with your crafted message and set the font size to 1px or colour it to match the background so it does not show in the email body.

If you do not set it, the inbox pulls whatever text comes first in your HTML. That is usually a mess.

Trick 4: Use Preview Text to Target Different Segments

This is where preview text becomes a segmentation tool without sending separate campaigns.

Send one email with the same subject line to your entire list. But change the preview text per segment:

  • New customers: Subject: Your welcome offer is waiting | Preview: and it gets better after your first order
  • Repeat buyers: Subject: Your welcome offer is waiting | Preview: plus a bonus just for coming back
  • Lapsed customers: Subject: Your welcome offer is waiting | Preview: we saved your cart and added a discount

Same subject line. Three different open motivations. You segment the preview, not the subject, and your open rates reflect it.

Most email platforms support dynamic preview text based on customer properties. If yours does not, create 3 versions of the same campaign with different preview text and send to separate segments.

How to Test Preview Text

Send test emails to yourself and check how they appear in your phone inbox before sending to your list. You are looking for:

  • Does the preview text flow naturally from the subject line?
  • Is the combined message under 100 characters so it does not get cut off?
  • Does it add information the subject line does not already say?
  • Would you open this email based on the subject plus preview alone?

If the answer to all 4 is yes, you are done.

The Bottom Line

Preview text is free real estate in the inbox. Most businesses ignore it. The ones that use it well see open rate bumps of 15 to 30 percent without changing a single thing about their subject lines or email design. Write your preview text first, then write your email. You will be surprised how much more focused the whole campaign becomes.
