Stop Doing Things Manually That Shopify Can Do For You
Shopify Flow is the most underused automation tool on the platform. Most store owners know it exists. Almost none of them use it. The ones who do are saving hours of repetitive work every single week. Here are four Flow recipes you can set up in under 10 minutes each, and they will immediately start paying you back in time.
Recipe 1: Auto-Tag High-Value Customers After Their Third Order
What it does: When a customer places their third order, Shopify automatically tags them “VIP” in your customer list.
Why it matters: You cannot treat someone who has bought from you three times the same way you treat a first-time browser. Tagging VIPs lets you create targeted email segments, offer exclusive discounts, and prioritise their support tickets. But doing this manually means checking order counts every day. Which you will not do.
How to set it up:
- Open Shopify Flow and create a new workflow
- Trigger: “Order created”
- Condition: “Customer orders count >= 3”
- Action: “Add customer tags” with tag “VIP”
- Save and turn on
That is it. Every customer who hits three orders gets tagged automatically. No spreadsheet. No memory. No manual check.
Recipe 2: Flag Suspicious Orders Before You Ship Them
What it does: When an order comes in with a shipping address that does not match the billing address, and the order total is above your threshold, Shopify tags it “Review Before Shipping” and sends you an email.
Why it matters: Fraudulent orders cost you the product, the shipping, and the chargeback fee. Spotting them before you dispatch is the only way to stop the bleed. Manual review means checking every single order, which no one has time for.
How to set it up:
- Trigger: “Order created”
- Condition: “Shipping address country != Billing address country” OR “Order total > $150” (set your own threshold)
- Action 1: “Add order tags” with tag “Review Before Shipping”
- Action 2: “Send email” to your fulfilment team with order details
- Save and turn on
Now suspicious orders get flagged before they reach your packing station.
Recipe 3: Send a Restock Reminder When Inventory Hits Zero
What it does: When a product variant hits zero inventory, Shopify sends you an email with the product name, SKU, and a link to reorder.
Why it matters: Stockouts are silent revenue killers. A customer lands on your product page, sees “sold out,” and leaves. You never know they were there. By the time you notice a product is out of stock, you have already lost days of sales. A restock reminder catches this the moment it happens.
How to set it up:
- Trigger: “Inventory level changed”
- Condition: “Inventory quantity <= 0"
- Action: “Send email” to your purchasing team with product name, SKU, and inventory history link
- Save and turn on
Optional upgrade: add a second action that tags the product “Out of Stock” so your web team can update the listing immediately.
Recipe 4: Auto-Archive Fulfilled Orders After 48 Hours
What it does: Two days after an order is fulfilled, Shopify automatically archives it. This keeps your orders list clean and uncluttered.
Why it matters: Your orders page is your daily command centre. When it is full of fulfilled orders from last week, you cannot see what needs attention today. Archiving is not deleting. The order still exists. It just stops cluttering your active view. Doing this manually means clicking archive on every order. Which takes forever and you will skip it.
How to set it up:
- Trigger: “Order fulfilled”
- Wait: 2 days (48 hours)
- Action: “Archive order”
- Save and turn on
Clean orders page. Every day. Zero effort.
The Compound Effect
Each of these recipes saves you maybe 45 minutes a week. That does not sound like much. But four recipes running together save you three hours. Three hours you were spending on tagging, reviewing, restocking, and tidying up.
