The Problem

You’ve got a project management tool. Maybe you even pay for it. But you’re still manually assigning tasks, sending reminders, moving things between statuses, and copy-pasting updates into Slack. The tool is supposed to save you time, but you’re spending time managing the tool.

ClickUp has an automation engine that can handle most of this. Most people never turn it on.

What ClickUp Automation Does

ClickUp Automations are rules you set once that run automatically. Think of them as a virtual assistant that never sleeps, never forgets, and never needs a Slack reminder to do its job.

The building blocks are straightforward:

  • When something happens (a task changes status, a due date arrives, a comment is added)
  • If certain conditions are met (priority is High, assignee is a specific person, task type is Bug)
  • Then do something (reassign, add a comment, change status, send a notification, create a new task)

You can chain these together into multi-step automations that handle entire workflows.

Six Automations Worth Setting Up Today

1. Auto-Assign New Tasks by Type

When: Task created
If: Task type equals “Bug”
Then: Assign to your developer

Do the same for “Content” tasks going to your writer, “Design” tasks going to your designer. No more “who’s handling this?” messages.

2. Move Stale Tasks to a Review Column

When: Task hasn’t been updated in 3 days
Then: Change status to “Stale” and assign to the team lead

Tasks die in “In Progress” because nobody checks them. This automation drags them back into the light.

3. Due Date Reminders

When: Task due date is 1 day away
Then: Add a comment: “Due tomorrow” and send a notification to the assignee

Stop being the person who reminds everyone about deadlines. Let ClickUp do it.

4. Auto-Create Subtasks for Recurring Work

When: A task with the “Launch” tag is created
Then: Create subtasks: “Write copy”, “Create visuals”, “Schedule posts”, “Send email”

Every launch has the same checklist. Stop writing it out manually.

5. Status-Based Slack Notifications

When: Task status changes to “Client Review”
Then: Send a Slack message to the client channel

Keep stakeholders informed without writing a single update yourself.

6. Close Completed Tasks Automatically

When: Task status changes to “Done”
Then: Set priority to None, remove the assignee, move to “Completed” list

Keeps your workspace clean. Completed tasks shouldn’t clutter your active views.

What It Costs

ClickUp has a free tier that includes basic automations (100 runs per month). The Unlimited plan gives you 1,000 automation runs per month. The Business plan is unlimited.

If you’re a small team of 2-5 people, the Unlimited plan is probably enough. If you’re running a content calendar, client work, and internal projects all through ClickUp, you’ll want Business.

The Honest Downsides

ClickUp is powerful, which means it’s complex. The interface can feel overwhelming at first. The automation builder isn’t as intuitive as Zapier’s. And if you set up conflicting automations, you’ll get weird results (two automations fighting over the same task).

Start simple. Set up one automation. Use it for a week. Then add another. Don’t try to automate your entire workflow on day one.

Who This Is Really For

If you’re a solo founder managing 10-20 active tasks at a time, ClickUp’s automations will save you maybe 3-5 hours a week. Not life-changing, but noticeable.

If you’re running a team of 3-10 people, automations become infrastructure. The time savings compound because every automated task doesn’t just save your time, it saves everyone from context-switching, miscommunication, and “did you see my message?” follow-ups.

If you’re on a free ClickUp plan and hitting the 100-run limit, that’s actually a good sign. It means you have enough workflow to justify upgrading.

The Bottom Line

ClickUp Automation isn’t going to run your business for you. But it will handle the repetitive coordination work that eats your day. Auto-assigning tasks, sending reminders, creating subtasks, and updating statuses are small actions that add up to hours every week.

Set up two or three automations today. You’ll feel the difference by Friday.
