The Real Problem With Growing Orders

More orders should feel like winning. Instead it feels like drowning. You’re printing labels, packing boxes, updating spreadsheets, sending thank-you emails, chasing reviews, and handling customer questions about where their order is. All while trying to actually run the business.

Here’s the thing: almost every step between “customer pays” and “customer receives” can be automated. You just need the right tools connected the right way.

When you open your packing queue each morning, orders are already sorted. No more scanning a flat list trying to figure out what matters.

Step 2: Auto-Generate Packing Slips With Notes

Use Shopify Flow to add order notes to the packing slip automatically. If a customer ordered a subscription, the slip says “subscription order, include loyalty card.” If they added a note at checkout, it prints on the slip. No manual data entry.

Step 3: Inventory Sync After Packing

When an order moves to “fulfilled,” Flow automatically adjusts inventory and triggers a restock alert if stock drops below your threshold. You never have to count stock manually to know what’s running low.

Automate the Follow-Up

Step 4: Post-Purchase Email Sequence

Set up a 3-email sequence in Klaviyo (or Shopify Email if you want to keep it simple):

  • Email 1 (Day 1): Order confirmation with tracking info. Personalised with their name, order details, and a link back to your store in case they want to add more.
  • Email 2 (Day 5): “How’s your order?” A genuine check-in. Not a sales pitch. Ask about their experience so far.
  • Email 3 (Day 14): Review request. Include a direct link to the review page. The easier you make it, the more reviews you get.

Step 5: VIP Customer Tagging

When a customer places their third order, Flow tags them “VIP” and triggers a personalised thank-you email from you (not a template, a real short note). Third-time buyers are your most valuable customers. They deserve more than an automated discount code.

The Pattern That Works

The brands that scale without burning out all follow the same pattern: they keep their stack tight and their processes lean. Not 47 apps. A tight system that handles orders, packing, fulfilment, and follow-up without manual intervention.

When your product is good and your process is tight, word of mouth compounds. Every automated follow-up email, every smooth unboxing experience, every prompt customer service reply adds to that momentum. You’re not cutting corners. You’re making sure the corners don’t need cutting.
