What a Review Request System Actually Does
A review request system sends a short, well-timed message to every customer after they receive their order, asking them to share their experience. It runs automatically. You set it up once and it works in the background.
The goal is not to collect hundreds of five-star reviews. It is to build a steady, honest stream of feedback that keeps your product pages alive and your SEO rankings climbing.
Step 1: Choose Your Trigger
The system starts with a trigger. When does the customer get asked?
The best trigger is order fulfilled. Not order placed. Not order shipped. Order fulfilled. The product has to be in their hands before you ask.
Most e-commerce platforms let you set this up:
- Shopify: Use Shopify Flow or a review app like Judge.me, Loox, or Yotpo. Set the trigger to “Order fulfilled” and add a delay of 5 to 7 days.
- WooCommerce: Use AutomateWoo or follow-up emails with a 7-day delay after order completion.
- Manual fallback: If your platform does not support automation, set a calendar reminder to email customers 7 days after delivery.
Why 5 to 7 days? Because they need time to use the product. Asking on day 1 gets generic feedback. Asking on day 7 gets specific, useful reviews.
Step 2: Write the Request Message
The message matters more than the timing. Here is what works:
- Short subject line: “How did we do?” or “Quick question about your recent order”
- One sentence of context: “You recently ordered [product name] from us.”
- One clear ask: “Would you mind leaving a quick review?”
- No bribes: Do not offer discounts for reviews. Most platforms prohibit it, and it erodes trust.
Keep it under 75 words. No life story. No paragraph about your brand values. Just the ask.

Step 3: Set Up the Delivery Channel
Email is the default, but it is not the only option.
- Email: Highest response rate for most stores. Use your order confirmation sender address so it looks familiar.
- SMS: Works well if you already collect phone numbers at checkout. Response rates are high, but costs add up.
- In-app prompt: If you have a mobile app or use a platform with built-in review widgets, a post-purchase popup can capture reviews without leaving the page.
Pick one channel to start. Do not blast customers across three channels. That feels like harassment, not a system.
Step 4: Add a Second Touch (Optional)
If the first request gets no response after 3 to 4 days, send one follow-up. Not two. Not three. One.
The follow-up should be even shorter than the first message:
Subject: One more thing
Hi [Name], just checking if you had a chance to review your [Product Name]. No pressure at all if not.
[Leave a Review]
That is it. If they do not respond to two messages, stop. You asked. They chose not to. Move on.
Step 5: Respond to Every Review
This is the part most businesses skip. When someone leaves a review, respond to it.
- Positive review: Thank them by name. Mention something specific they said. One sentence is enough.
- Negative review: Acknowledge the problem. Offer a solution. Keep it brief and professional.
Why does this matter? Because people read your responses before they write their own review. A business that responds to reviews looks like a business that cares. That is all most customers need to see.

Here is the full system:
- Customer places an order
- Order is fulfilled and shipped
- 5 to 7 days later, an automated review request goes out
- If no response, one follow-up 3 days later
- Customer clicks through to leave a review
- You respond to every review within 24 hours
Total setup time: 30 to 60 minutes depending on your platform. Total ongoing effort: responding to reviews as they come in.

- The optimal timing window is 5 to 7 days after delivery.
