You Ship the Order. Then the Emails Start.

You ship the order. The customer gets the confirmation email. Then they email you: “Where is my order?” Then they email again. Then they message you on Instagram. Then they email a third time asking why the tracking has not updated in two days.

Sound familiar?

Every “where is my order” email costs you time. It costs you a support ticket. And it costs you the customer’s patience. Most small businesses handle this reactively. You manually check the tracking, paste it into an email, and send it off. Then you do it again for the next customer. And the next.

There is a better way. You can build a self-service shipping tracker page in under an hour that lets customers find their own answers.

Why a Tracker Page Beats Manual Replies

When a customer emails about their order, your response time is however long it takes you to see the email, open the tracking link, type a reply, and send it. That can be hours. In that time, the customer has already decided you are slow.

A tracker page gives them the answer instantly. No waiting. No drafting. No back-and-forth. It also reduces your support volume by 30-50% in most cases, because customers check the page before they email you.

The math is simple. If you get 20 “where is my order” emails a day and each one takes 3 minutes to answer, that is an hour a day. A tracker page cuts that to under 5 minutes of total follow-up for the edge cases the page cannot handle.

What Your Tracker Page Needs to Show

A good tracker page does not just link to the carrier. It shows the customer everything they need in one place:

  1. Order status: Confirmed, processing, shipped, delivered. One clear label.
  2. Tracking number and carrier: So they can click through to the carrier if they want.
  3. Shipment progress: Where the package is right now, with timestamps for each scan event.
  4. Estimated delivery date: The one thing every customer actually wants to know.
  5. FAQ link: A short section answering the three questions you get most.

The page should be branded. It should look like your site, not a third-party tracking portal. And it should be accessible from the order confirmation email with one click.

How to Build It: Three Options

Option 1: Shopify Order Tracking Apps (Fastest)

If you are on Shopify, install a tracking app. These connect to your store, pull order data, and create a branded tracking page automatically.

AfterShip (free for up to 50 shipments per month) and 17TRACK (free plan available) are the two most popular. Both give you a branded tracking page that lives on your store’s domain. Customers enter their order number or tracking number and see their shipment progress.

Setup takes 10 minutes. Connect your carrier accounts (or let the app auto-detect them), customise the page colours to match your brand, and add the tracking link to your shipping confirmation email template.

Option 2: Build a Custom Page With an API (More Control)

If you want full control over the design, or you are not on Shopify, build your own tracking page using a shipping API.

Shippo and EasyPost both offer tracking APIs that return shipment status, scan events, and estimated delivery dates. You make one API call with a tracking number, and you get back everything you need.

The basic flow: create a page on your site at /tracking, add a form where customers enter their order number, look up the tracking number in your database, call the API, and display the results.

If you use Shopify, you can skip the API and use Shopify’s own order status page. Add a link to it in your shipping confirmation email. It already shows tracking data from your connected carriers.

Option 3: Embed a Widget (Quick and Simple)

If you do not want a full page, embed a tracking widget on an existing page. ParcelPanel and Track123 both offer embeddable widgets you can drop into any page on your site.

The widget loads the tracking data inside your existing page layout. It looks like part of your site. Setup takes 5 minutes and requires no coding.

Adding It to Your Email Flow

Your tracker page only works if customers know it exists. Add the tracking link to two places:

  1. Shipping confirmation email: Replace “Track your order” links that go directly to the carrier with a link to your tracker page.
  2. Order status page: If you use Shopify, add a “Track my order” button to the order status page in your checkout.

Both links should go to your tracker page, not the carrier website. You want the customer on your site, not the carrier’s.

The FAQ Section That Cuts Another 20% of Emails

Add a short FAQ section to your tracker page. You only need three questions:

  1. “My tracking has not updated in days. Is my order lost?” Carriers sometimes skip scans during transit. If your estimated delivery date has not passed, your order is still on its way.
  2. “Can I change my delivery address after my order has shipped?” Once an order is shipped, the carrier cannot change the address. Contact the carrier directly to request a hold or redirect.
  3. “My order shows delivered but I did not receive it.” Check with your neighbours and your carrier’s delivery photo. If you still cannot find it, contact us.

Measuring Whether It Works

After you launch your tracker page, track two numbers for the next 30 days:

  1. “Where is my order” emails per day (before and after)
  2. Tracker page visits per day

A good tracker page reduces “where is my order” emails by 30-50% in the first month. It takes 10-60 minutes to set up. And it keeps working for you every day, even when you are asleep.
