Why Shipping Notifications Matter More Than You Think

You shipped the order. You entered the tracking number. You moved on. But your customer? They are sitting there wondering if the package exists at all.

The gap between “order placed” and “package arrived” is where trust either grows or dies. If you are not filling that gap with updates, your customer fills it with anxiety, and then they send you a message. Now you are answering emails instead of building your business.

Automated shipping notifications close that gap. Every order gets a series of timed, branded messages that tell the customer exactly what is happening. No manual work. No guessing. No support tickets.

What You Need Before You Start

You need two things: an e-commerce platform that supports order status changes, and a shipping integration that pushes tracking data back to your store.

Most platforms handle this out of the box. Shopify, WooCommerce, and BigCommerce all support automated shipping notifications. The key is making sure your shipping carrier feeds tracking data back into your platform so the system knows when to trigger each message.

If you use Shopify, you already have the basics. If you use WooCommerce, you will need a plugin like WooCommerce Shipping or ShipStation to bridge the gap. Both paths are straightforward.

Step 1: Map Out Your Notification Timeline

Before you configure anything, decide which updates matter. You do not need a notification for every scan event. Four to five messages is the sweet spot:

  1. Order confirmed – Sent immediately after purchase. Confirms the order, shows what they bought, and sets the expectation for when they will hear next.
  2. Order shipped – Sent when the tracking number is generated. Includes the carrier, the tracking number, and a link to track.
  3. In transit – Optional. Sent when the package hits a major scan event like arriving at a sorting facility. Good for high-value or international orders.
  4. Out for delivery – Sent on the day of delivery. This is the one your customer actually cares about.
  5. Delivered – Sent when the carrier marks it delivered. This is also your best moment to ask for a review or suggest a repeat purchase.

Each message should be short, clear, and branded. Your customer does not want a paragraph about logistics. They want to know: where is my thing, and when will it arrive.

Step 2: Configure Notifications in Your Platform

Shopify: Go to Settings, then Notifications. You will see a list of order and shipping notifications. Click into each one. You can edit the email subject, body, and sender name. You can also toggle them on or off.

Make sure these are turned on: Order confirmation, Shipping confirmation, Shipping update, and Delivered. The default templates are solid but generic. Add your brand voice and make the subject lines specific.

WooCommerce: Go to WooCommerce, then Settings, then Emails. Enable the “Order processing” and “Order completed” emails. For shipping-specific notifications, install a plugin like WooCommerce Shipment Tracking or use a shipping platform like ShipStation that sends notifications on your behalf.

BigCommerce: Go to Settings, then Email Templates. You will find order confirmation, shipped, and delivered templates. Customise the content and make sure the tracking section is visible.

Step 3: Connect Your Shipping Carrier

This is the part most people skip, and it is the reason their shipping notifications never fire.

Your platform can only send “order shipped” if it knows the order shipped. That means your shipping carrier needs to push tracking updates back to your store.

If you use Shopify Shipping: This happens automatically when you buy labels through Shopify. The tracking data syncs back to the order and triggers the notifications.

If you use a third-party shipping tool: Make sure it is connected to your store via API or plugin. ShipStation, Shippo, EasyShip, and Pirate Ship all offer direct integrations. Once connected, when you generate a label, the tracking number flows back to your platform and the notification fires.

If you ship manually: You need to enter tracking numbers into your platform yourself. In Shopify, go to the order, add the tracking number, and mark it fulfilled. The notification sends immediately. In WooCommerce, update the order status to “Shipped” and add the tracking number in the shipment tracking field.

Step 4: Write the Messages That Actually Get Read

Most shipping notifications are boring. Yours do not have to be. Here are the elements that make the difference:

  • Subject line: Be specific. “Your order has shipped” is fine. “Your candles are on their way” is better. “Your order #1234 just left our workshop” is best.
  • Tracking link: Make it obvious. Not buried in a paragraph. A big button that says “Track your package” right at the top.
  • Delivery estimate: Give a date, not a range. “Arriving Thursday, June 26” is more reassuring than “3-5 business days.”
  • What next: The delivered email should include a link to leave a review, reorder, or browse related products. This turns a transactional message into a revenue driver.

Keep each message under 150 words. If you have branding, use it. If you have a distinct voice, let it come through. These messages are part of the customer experience, not just logistics updates.

Step 5: Set Up the Delivered Email as a Revenue Channel

The “delivered” notification is the most underrated email in e-commerce. Your customer just received something they wanted. They are in a good mood. This is the moment to ask for something.

Add these three elements to your delivered email:

  1. A review request: “Loved your order? Tell us about it.” Link directly to the review form on the product page.
  2. A repeat purchase nudge: “Running low? Stock up before you run out.” Link to the product or a curated collection.
  3. A referral hook: “Know someone who would love this? Share $10 off their first order.” Link to your referral programme.

One email, three revenue opportunities. Set it up once and it runs forever.

Step 6: Test the Entire Flow

Before you go live, place a test order and walk through the entire notification sequence. Check these things:

  • Does the order confirmation arrive within 60 seconds?
  • Does the shipped email include the correct tracking number and a working link?
  • Does the delivered email fire when the carrier marks it delivered?
  • Are all the links in the delivered email working?
  • Do the emails look good on mobile? Most of your customers read them on their phone.

If any step fails, the fix is usually in the shipping integration. Check that tracking data is flowing back to your platform.

What This Looks Like in Practice

A small skincare brand set up automated shipping notifications and watched their “where is my order” emails drop by 70% in the first month. Their delivered email now generates 15% of all reviews and 8% of repeat purchases. They did not hire anyone. They did not write a single email after the initial setup. The system runs itself.

That is the point. Shipping notifications are not exciting. They are not creative. But they solve one of the most common friction points in online shopping, and they do it without you touching a button.

Set them up this week. Your customers will notice, your inbox will thank you, and your repeat purchase rate will quietly climb.
