The better move is to take a deposit right now, lock in the commitment, and fund your first production run with customer money instead of your own.<\/p>\n<p>A pre-order deposit system lets customers pay a fraction of the price upfront to reserve their unit. When the product ships, you collect the balance. If you set it up correctly, you get cash flow, guaranteed demand numbers, and a customer base that is financially committed before you spend a cent on manufacturing.<\/p>\n<p>Here is how to build one in under an hour using tools you already have.<\/p>\n<h2>What You Need<\/h2>\n<ul>\n<li>A Shopify store (or any platform that supports product variants and discount codes)<\/li>\n<li>Stripe or Shopify Payments active<\/li>\n<li>A spreadsheet or notes app for tracking balances<\/li>\n<\/ul>\n<p>That is it. No plugins. No developer. No custom checkout.<\/p>\n<h2>Step 1: Create a Deposit Product Variant<\/h2>\n<p>Go into your product editor and create two variants of the product you are pre-selling.<\/p>\n<p>Variant 1: &#8220;Full Price&#8221; at the normal retail price. Leave this one unpublished or hidden from your storefront for now.<\/p>\n<p>Variant 2: &#8220;Pre-Order Deposit&#8221; priced at 20 to 30 percent of the retail price. It is a contract-adjacent document that prevents disputes later.<\/p>\n<p>Create an automated email (or edit your existing order confirmation template for this product) that includes:<\/p>\n<ul>\n<li>The deposit amount they paid<\/li>\n<li>The remaining balance amount<\/li>\n<li>The expected ship month (not a specific date, unless you are certain)<\/li>\n<li>What happens if the ship date changes (you will email them 30 days before)<\/li>\n<li>Their order number and a link to their order status page<\/li>\n<li>A clear statement that the deposit is non-refundable once production begins<\/li>\n<\/ul>\n<p>This email is your safety net. If a customer disputes the charge two months later, this email is your proof that they understood the terms.<\/p>\n<h2>Step 3: Track Balances in a Simple System<\/h2>\n<p>You do not need fancy software for this. A Google Sheet with four columns is enough:<\/p>\n<ol>\n<li>Order number<\/li>\n<li>Customer email<\/li>\n<li>Deposit paid<\/li>\n<li>Balance due<\/li>\n<\/ol>\n<p>Every time a deposit order comes in, add a row. When you are ready to ship, filter the sheet by balance due greater than zero and send each customer an email with a payment link for the remaining amount.<\/p>\n<p>If you use Shopify, you can use the draft order feature to create the balance invoice. Go to Orders, create a draft order for the full-price variant, apply a discount equal to the deposit they already paid, and send the invoice to the customer. When they pay, the order converts to a fulfilled order and you ship it.<\/p>\n<p>If you want to get slightly more automated, use Shopify Flow (free on Shopify plans) to tag every order containing the deposit variant with a &#8220;pre-order-balance-due&#8221; tag. This keeps your dashboard clean and lets you filter orders in one click.<\/p>\n<h2>Step 4: Handle Ship Date Changes Without Losing Trust<\/h2>\n<p>Ship dates slip. Suppliers miss deadlines. Freight takes longer than expected. The way you communicate this determines whether customers stay patient or demand refunds.<\/p>\n<p>Set a rule for yourself: if the ship date moves by more than two weeks, email every deposit holder immediately. Do not wait until the original date has passed. Tell them the new date, the reason in one sentence, and what you are doing about it.<\/p>\n<p>Template:<\/p>\n<blockquote>\n<p>Hi [Name], your pre-order for [product] is now expected to ship in [new month] instead of [original month]. The reason is [one sentence, no drama]. Your deposit and queue position are unchanged. If you would prefer to cancel and receive a full refund of your deposit, reply to this email and I will process it within 48 hours. Thank you for your patience.<\/p>\n<\/blockquote>\n<p>That last sentence is the most important part. Giving customers an exit builds more trust than hiding the delay. Most will stay.<\/p>\n<h2>Step 5: Collect the Balance Before Shipping<\/h2>\n<p>When the product is ready, do not ship first and bill later. Collect the balance first.<\/p>\n<p>Send each deposit holder an email with their balance invoice and a payment link. Give them a deadline: 7 days to pay before their reserved unit goes to the next person in the waitlist.<\/p>\n<p>This creates urgency without being aggressive. It also filters out the deposit holders who have gone quiet or changed their mind. If someone does not pay within 7 days, refund their deposit and offer the unit to the next person on your waitlist.<\/p>\n<p>Once the balance is paid, fulfil the order and ship it.<\/p>\n<h2>What Not to Do<\/h2>\n<ul>\n<li>Do not charge the full price as a pre-order. Deposits work because the commitment is low enough to feel safe. Full price pre-orders kill conversion rates.<\/li>\n<li>Do not skip the confirmation email. Without it, you have no proof the customer understood the terms.<\/li>\n<li>Do not set a specific ship date unless you are 95 percent certain. Use a month, not a day.<\/li>\n<li>Do not use a deposit amount below 15 percent of retail. Too low and customers do not feel committed. They will cancel at the slightest inconvenience.<\/li>\n<li>Do not forget to tag deposit orders in your system. If you mix them with regular orders, you will ship products to people who have only paid a deposit.<\/li>\n<\/ul>\n<h2>When to Use This System<\/h2>\n<p>This works best for products with a clear production timeline: 4 to 12 weeks from order to ship. If your product ships in 2 weeks, a deposit system is overkill. Just sell it normally.<\/p>\n<p>It also works best for products with a known audience. If you already have a waitlist, an email list, or social media interest, a deposit system converts that interest into committed revenue. If you are launching a product nobody has heard of, focus on building awareness first.<\/p>\n<h2>The Bottom Line<\/h2>\n<p>A pre-order deposit system is the cheapest way to fund production without borrowing. Customers get to reserve something they want without paying full price upfront. You get cash flow and demand validation before you spend on manufacturing.
