At some point in the next year or two, most small business owners will hand an AI agent real access to real tools. Not a chat window where you paste things, but a standing assistant that reads your inbox, checks your stock file, drafts replies, updates spreadsheets while you sleep. The moment you do that, a quiet decision happens that most people skip: you have chosen what the agent is allowed to do, whether or not you chose it on purpose.<\/p>\n
It is worth pausing on that, because the risk of an agent is never the intelligence of the model. It is the worst permission you gave it. An agent that can only read your catalogue cannot hurt anything, no matter how confused it gets. An agent that can email every customer on your list, or move money, or delete files, is only one bad instruction away from a very bad day. Same model. Different blast radius.<\/p>\n
So before you hand over the keys, sort your tools into three buckets. This takes about twenty minutes and it is the difference between an agent that feels like a hire and one that feels like a liability.<\/p>\n
Most of an assistant’s working day is reading. Your product list, your analytics, your calendar, your order history, the notes from supplier calls. Reading is low risk because nothing has changed yet, and it is where almost all of the value comes from: the agent spots the pattern, drafts the plan, flags the anomaly.<\/p>\n
Grant broad read access, and you will rarely regret it. If a tool offers a read-only setting or a viewer role, use it. The worst a read-only mistake can do is give you a wrong answer while you are watching, which is an ordinary Tuesday.<\/p>\n
Some work needs doing, not just describing. Internal documentation that needs updating. Tags on orders that need tidying. Drafts that need preparing. Schedules that need building. These are the chores you have been doing at 9pm for years, and they are exactly what makes an agent worth paying for.<\/p>\n
The safeguard here is not approval, it is visibility. A good rule: the agent may write wherever a record is kept. Every draft it saves is still a draft until you send it. Every tag it applies is one click to remove. Choose writing targets that carry their own undo button, and skim the log once a week. You will catch an over-eager rename long before it causes damage.<\/p>\n
Then there are the actions that leave the building. Anything a customer sees. Anything money touches. Anything that would be hard to undo.<\/p>\n
None of this means the agent can never send the email. It means the agent proposes and you tap approve. This pattern has a name in the open-source agent world: frameworks such as OpenClaw support exactly this, where the agent pauses before a gated action and asks, and you confirm or deny. The pause costs you seconds. The absence of a pause has cost other people considerably more.<\/p>\n
Instructions only work while the model obeys them. The sturdier safeguard is the shape of the access itself, because a scoped key cannot be creatively misread. A few habits carry most of the weight here:<\/p>\n
Every good agent setup produces a trail: what it read, what it wrote, what it asked permission for. Look at it weekly at first. You are not hunting wrongdoing; you are calibrating. If it keeps asking permission for things that are obviously fine, widen that rule. If you find it doing something you did not expect, shrink that boundary until it earns more. The trust grows in the direction the log points, one week of evidence at a time.<\/p>\n
An agent with good boundaries turns into the kind of colleague who does the tedious half of your week without wanting credit for it. The whole trick is deciding, on purpose and in writing, where its job stops. Give it the work. Keep the keys that matter.<\/p>\n
