1. Put the Tracking Number in the Subject Line

Most shipping confirmation emails bury the tracking number in the body. The customer opens the email, scrolls, finds the number, copies it, goes to the carrier website, pastes it. Three steps that should take zero.

Instead, put the tracking link right in the subject line:

Your [Brand Name] order has shipped. Track it here: [tracking link]

Now the customer does not even need to open the email to find what they need. They see the link in their notification preview and click straight through.

This one change reduces “where is my order” emails by roughly 20 to 30 percent for most stores. It works because the customer never has to search for the information. It is right there.

2. Show the Delivery Window, Not Just the Ship Date

“Your order has shipped” tells the customer nothing useful. They already know it shipped. What they want to know is when it will arrive.

Replace the generic ship date with a specific delivery window:

Before:

Your order shipped on August 28.

After:

Your order is expected to arrive between August 31 and September 2.

You can pull this directly from the carrier API. Most shipping platforms (Shopify Shipping, ShipStation, EasyShip) include estimated delivery dates in their data. Use them.

If you cannot get a precise window, use a range based on your average delivery time. “Arriving in 3 to 5 business days” is better than “shipped on Monday.”

3. Add a “What Happens Next” Section

The shipping confirmation email is your one chance to set expectations for the entire delivery experience. Use it to answer the three questions customers always ask:

  1. Can I change my delivery address? Tell them yes or no, and where to go if yes.
  2. What if I am not home? Let them know whether the carrier will leave it at the door, require a signature, or attempt redelivery.
  3. What if something is wrong? Give them a clear link to your support contact or returns page.

A simple block like this:

What happens next:
– Your package will arrive between August 31 and September 2.
– The carrier will leave it at your door if you are not home.
– Need to change your address? Reply to this email before August 29.
– Something not right? Visit our returns page: [link]

This section alone cuts support volume because customers stop emailing you with questions you already answered.

4. Include a Photo of the Product They Ordered

This sounds small. It is not.

When customers see a photo of the product they are waiting for, two things happen. First, they feel reassured that the right item is on the way. Second, they get excited again. Excitement reduces anxiety. Reduced anxiety means fewer “just checking” emails.

Most e-commerce platforms let you pull the product image from the order data. Add it to the email template next to the product name and variant.

What is on the way:
[Product Image] Product Name, Size, Colour

This also reduces “I ordered the wrong thing” emails, because the customer can visually confirm what they bought right in the confirmation.

Putting It All Together

A shipping confirmation email that actually reduces support load looks like this:

Subject: Your [Brand Name] order is on its way. Track it here: [tracking link]

Hi [Name],

Your order is on its way and expected to arrive between [date range].

[Product image] Product Name, Size

What happens next:
– The carrier will leave your package at the door.
– Need to change your address? Reply to this email before [date].
– Something not right? Visit [returns page link].

Track your package: [tracking link]

Thanks,
[Brand Name]

The Numbers Behind the Tweaks

  • Subject-line tracking links reduce WISMO emails by 20 to 30 percent.
  • Delivery windows reduce WISMO emails by another 15 to 20 percent.
  • “What happens next” sections reduce generic support emails by roughly 10 to 15 percent.
  • Product images reduce “wrong item” and “did I order this” emails by about 10 percent.

Combined, these four tweaks can cut your shipping-related support volume by 40 to 50 percent. That is half your inbox gone from one email template update.

Start with the subject line tweak. It takes 5 minutes. Then add the delivery window. Then the next steps section. Then the product image. Each one compounds on the last.
